Students under 18 years of age

International students who are under the age of 18 years and who will be studying on a student visa are required by the Department of Immigration and Citizenship (DIAC) to have care and accommodation provided by:

A suitable relative is defined by the Department of Immigration and Citizenship (DIAC) as, a grandparent, brother, sister, aunt, uncle, niece or nephew, or a step-grandparent, step-brother, step-sister, step-aunt, step-uncle, step-niece or step-nephew. A suitable nominated relative must be over 21 years of age.

If you are an international student and will be under 18 years of age at the time you commence your studies at Macquarie University, you are required to undertake the following steps to accept your offer of admission.

International Students Residing with a Parent or Suitable Nominated Relative

If you are going to reside in Australia with a parent or a suitable nominated relative you  are required to follow the instructions outlined below:

Step 1: The Guardianship Confirmation form

  1. Download the Guardianship Confirmation form
  2. Complete the Guardianship Confirmation form and indicate that you will be residing with a parent or suitable nominate relative
  3. Include the full name and residential address of your parent or suitable nominate relative
  4. Your parent and suitable nominate relative must sign the Guardianship Confirmation form. 

Step 2: Required Documentation

You must attach the identification page of your and your parent or suitable nominated relatives’ passport and certified copies of the following documents as evidence of the relationship with between you and your parent or suitable nominated relative:

  1. Birth Certificate
  2. Family Card or Register
  3. Marriage Certificate of your parents
  4. The evidence of the relationship with your suitable nominated relative if it is not evident in the previous documents.

Step 3: Submission of Documentation

You must submit the Guardianship Confirmation form and certified copies of the identification documents to the Macquarie International Admissions Officer listed on your Letter of Offer.

Step 4: The Electronic Confirmation of Enrolment (eCoE)

Your Admissions Officer will process your acceptance of offer and assess your guardianship documentation. Once the relationship between you and your parent or suitable nominated relative has been established, your Admissions Officer will send you an electronic Confirmation of Enrolment (eCoE), so that you can apply for your student visa.

International Students Not Residing with a Parent or SuitableNominated Relative

The University is required to approve the accommodation and welfare arrangements for international students who are under 18 years of age and who are not residing with a parent or a suitable nominated relative. The University is required to sign a Confirmation of Appropriate Accommodation and Welfare (CAAW) Letter to indicate approval of your accommodation arrangements to facilitate your application for a student visa. Once you arrive in Australia you will be required to attend twice weekly meetings with an International Student Advisor until you complete your course or until you turn 18.

If you need the University to approve your accommodation and welfare arrangements, you are required to follow the instructions outlined below:

Step 1:  Arrange Accommodation with an Approved Homestay Provider

The University will only approve the accommodation and welfare arrangements for students who are residing with an approved Homestay Provider.

Once you have identified a suitable Homestay provider you will need to confirm your accommodation and guardianship arrangements directly with the provider.

Step 2: The Guardianship Confirmation form

  1. Download the Guardianship Confirmation form
  2. Complete the Guardianship Confirmation form and indicate which Homestay Provider you have arranged accommodation and guardianship
  3. Include the full name and residential address of your Homestay Host
  4. Your parent and your Homestay Host must both sign the Guardianship Confirmation form. 

Step 3: Required Documentation

You must attach the identification pages your passport and your parent passport and certified copies of the following documents as evidence of the relationship with between you and your parent:

1.       Birth Certificate
2.       Family Card
3.       Marriage Certificate of your parents

You must also provide a copy of the contract with the Homestay Provider listing full name and residential address of your Homestay Host.

Step 3: Submission of Documentation

The Guardianship Confirmation form and certified copies of theidentification documents and Homestay contract must be submitted to the Macquarie International Admissions Officer listed on your Letter of Offer.

Step 4: The Confirmation of Appropriate Accommodation Letter (CAAW) and the electronic Confirmation of Enrolment (eCoE)

Your Admissions Officer will process your acceptance of offer and will assess the guardianship documentation you have submitted. Once the relationship between you and your parent and confirmation of your accommodation with an approved Homestay Provider has been established an International Student Advisor will sign a Confirmation of Appropriate Accommodation Letter (CAAW) and you will be sent an electronic Confirmation of Enrolment (eCoE) so that you can apply for your student visa.

Your CAAW Letter will commence 7 calendar days prior to the commencement of Orientation and will conclude 7 days after the end date of your course or the day you turn 18, whichever date is the earliest.

Responsibilities

It is important for you to note that if the University has approved your accommodation and welfare arrangements you must not change your accommodation without the approval of Macquarie International.

You will be assigned an International Student Advisor at Macquarie International and you will be required to attend twice weekly meetings. You will be contacted by your International Student Advisor regarding meeting times. If you experience any problems with your accommodation and welfare arrangements you should contact your International Student Advisor immediately.

Should you fail to attend your twice weekly meetings or change your accommodation without the Macquarie International is obliged to advise the Department of Immigration and Citizenship (DIAC) which may have an impact on your student visa.
