Macquarie University's International Travel Grant Scheme is by far the best in the country. All Macquarie students, both undergraduates and postgraduates, are eligible to apply for a grant. The aim of these grants is to subsidise the cost of a student's international activity, not to cover the entire cost.
Macquarie Abroad classifies grants into the following categories:
These categories are funded in slightly different ways. This is outlined in the Outbound Mobility Programs Policy, which also outlines what activities are likely to attract what sort of funding.
To apply for a travel grant, you need to complete the Online application.
In order to complete this form, you will be required to attach other documentation, including 2 references. At least one of these references needs to be an academic reference from someone who has taught you at Macquarie University.
All the required documentation is listed on the application form. Incomplete applications will not be considered until all the relevant documentation is provided.
Macquarie International will process travel grants after the 15th of every month.
Travel grants will be processed as soon as applications are complete so please ensure you have spoken with your referee to ensure they complete their online reference as soon as possible. You will be notified if your application is incomplete and additional documentation will be requested
Students will generally be notified of the result of their application within two weeks of the deadline, although in rare cases there might be a slight delay (in which case you will be notified by email).
Cheques take between 4 and 8 weeks to be issued and Macquarie Abroad is unable to speed the processing of these cheques – so be sure to apply well in advance of your planned overseas activity.
Once the cheques are ready, we will notify you by email. Cheques will be placed at the front desk of the main International Office in E3A for collection.
If you are unable to collect your cheque in person, you may also authorise someone to collect your cheque on your behalf. You must send an email us an authorization for someone else to collect your cheque - email to goexchange@mq.edu.au, including your nominee's name, contact number and Student ID (if relevant).
We are also able to post your cheque to you. You must supply us with a Stamped, Self-Addressed envelope. Please note - Macquarie International accepts no responsibility for cheques lost in the mail. If your cheque is lost in the mail, and needs to be reissued, it may take up to 8 weeks for this to be done.
Macquarie Abroad is unable to bank a cheque on your behalf, and payment by cheque is the only option (EFT or Fees reductions are not possible).
Conditions of receiving a travel grant include: Having sufficient travel insurance; acting as an ambassador for Macquarie, showing relevant proof of completion and submitting a travel report based on your experience. You must also notify Macquarie Abroad in writing (including email) if your planned activity changes in any way from your proposal. Students failing to declare changes in their activities will be found in breach of the conditions of the travel grant.
All students will be required to show proof of sufficient travel insurance when collecting their travel grants. Insurance policies purchased should comply with Macquarie Abroad's Travel Insurance Policy.
Proof of insurance must be in the form of a receipt for the insurance policy outlining: the level of cover, the duration of cover, the total cost paid and the name of the policy.
Students without proof of insurance will not be able to collect their cheques.
All students are required to submit Proof of Completion for the activity they have undertaken. This is due within 4 weeks of the completion of the activity. Please read the Guidelines for showing proof of completion for a Macquarie University Travel Grant.
All students are also required to submit a Travel Report based on their experience – this must be between 1 and 2 pages submitted with Proof of Completion. Students may discuss any aspect of their experience that they wish.
Students breaching the conditions of their travel grant will be required to repay the grant to the university. A sanction will be placed on the student’s record until this is done, prohibiting students from graduating or receiving transcripts from the university.
Students in breach of their travel grant requirements may also be referred to the University debt collector or the NSW Police.
